CONFERENCE & EVENTS ADMINISTRATION OFFICER

Section:                                     Commercial Services                 

Responsible to:                         Conference and Events Manager  

Working hours:                          35 hours per week   

Working Pattern:                       Monday to Friday. Occasional out-of-hours working and overnight stays, as required.

 

Purpose of the Job

 

To provide support for the IRRV conferences and events. Working closely with the Conference and Events Manager and Sales and Marketing Officer to co-ordinate the conference requirements.

 

To set up and offer support for the IRRV Professional Meetings, Upskilling and Training Meetings.

 

To raise invoices for bookings taken.

 

Specific Duties and Responsibilities

  1. To work alongside the Conference and Events Manager to manage all delegate and speaker enquiries in the run up to, during and post events.
     
  2. To provide speakers and delegates with the event confirmations, joining instructions, delegate lists, feedback forms for the conferences, Professional Meetings and Training Days.
     
  3. To manage the general enquiries for the Professional Meetings, Upskilling Courses and Training Days. To offer administration support in running of these events on the day.
     
  4. To reconcile the conference budgets and figures for the Sales and Events Manager as and when required.
     
  5. Support the Conference and Events Manager to manage the bookings for all commercial events. Including raising invoices, managing enquiries, dealing with cancellations. 
     
  6. To manage the content for the conference websites, to include but not limited to, the Spring, Scottish and Annual conferences and the Performance Awards.
     
  7. To manage the content for the Professional Meetings and Training Days websites, ensure the details are up-to-date.
     
  8. To support the Conference and Events Manager in speaker management, pre-event and on the day support for Professional Meetings and Training Days.
     
  9. To research and collate details for new venue options where required.
     
  10. Participate fully in the staff appraisal and personal development schemes.
     
  11. Any other duties, commensurate with the grade, as required by the Head of Commercial Services and / or Senior Management Team.

NB: It should be noted that this job description is not exhaustive and will require amendment in the light of changed practices and procedures.

Working Arrangements

The applicant will become a permanent home worker but occasional unsocial hours of work and travelling to meetings and Institute events, including overnight stays, will be required.
